The staff communication packet is prepared and delivered to the Planning Zoning Commission on the Thursday prior to the meeting date. The Planning and Zoning Commission (P/Z) meeting begins at 7:00 p.m. on the
third Wednesday of each month (see schedule).
Copies of the agenda and staff reports (called P/Z Communications) concerning
the specific development applications the P/Z is reviewing can be found outside
the Council Chambers the night of the meeting. The staff
reports can also be viewed on our web site.
The format of the P/Z meetings is fairly uniform. After a few preliminaries
such as the roll call, public invited to be heard on items not on the agenda,
and approval of the minutes, the P/Z starts hearing the development applications.
A representative of the applicant presents the development proposal, then
Planning staff describes how it meets the review standards. The Chairman will
then open the public hearing for people in the audience who want to speak
on that agenda item. The P/Z may ask questions of anyone who has spoken. After
everyone has a chance to speak, the P/Z discusses the application and votes
on it. After the vote, the Chairman describes the next step in the review
process. If the application is going on to City Council or whether it is an
appeal item. If you want to appeal the Commission's decision to City Council,
contact the project planner about how to file an appeal.
Public
Hearing format - for items listed on the agenda
Anyone who wants to address the P/Z on an item which is on the agenda may
sign up on the sign-up sheets located on the table in front of the hearing
room or you may raise your hand to speak during the "Public Hearing"
portion of the agenda. A time limit of 5 minutes is allowed for public
hearing speakers. See (Public Hearing
/ PZ Agenda). Visuals are acceptable through hard copies for handout to Commissioners/Staff, presentation boards, or Power Point presentation - presentation must be within 5 minute time limit.
Public
Invited to be Heard format
(for items not listed on the agenda)
P/Z has two items listed on their agenda called "Public Invited to
be Heard" at the first portion of the meeting and "Final Call -
Public Invited to be Heard" after the development applications have been
heard. Anyone can speak about an issue not on the agenda. P/Z may not act
on your issue that evening however, they do want to hear what you have to
say. Frequently, they may ask staff to follow-up on points that are raised.
A time limit of 5 minutes is allowed for public invited to be heard
speakers. Visuals are acceptable through hard copies for handout to Commissioners/Staff, presentation boards, or Power Point presentations - as long as presentation is within 5 minute time limit.
